Security – where does your data reside? Who owns the data? Is your information being used to train the AI tool? Can/will your data be sold to third parties? Is the data encrypted at all times?

Searching functionality – can you search across meetings for keywords or topics, not just within a meeting? Can you create topic trackers? Is it able to provide analytics across meetings looking for trends?

Storage – are there options for you to store your own data? Are there charges associated with data storage? Who owns the stored data?

Compliance – is the company SOC2 Type II, HIPAA, or GDPR-certified depending on the requirements of your industry?

Integrations – can it integrate easily and seamlessly with your current meeting solution? Will you incur additional costs to implement this tool in your environment?

Once you determine which parameters are key to you, take the time to evaluate each tool, ask the right questions, and do a demo to take them for a test drive. Remember that communication and training are key for user adoption, so ensure you have a robust roll-out plan to ensure your organization gets the most out of their new tool.
